When will I receive my invoices and refunds from Q8?

Are you a private or business customer? This determines how your invoicing and any reimbursements are handled.

Do you have a Q8E… charging card? Then you are a private customer. You will not receive invoices or reimbursements, but you can view all your charging transactions in the Q8 app.

Do you have a Q8C… charging card? Then you are a business customer. Read below to find out how and when your invoices and reimbursements are processed.

When will I receive my refund?

Self-bills and refunds for the previous month’s transactions are created on the 10th of the following month.

When will I receive my invoice?

This depends on the total invoice amount for the previous month:

  • Up to and including €100 incl. VAT: you will receive one invoice on the 3rd of the following month. This includes all available and processed transactions for the month and the monthly subscription fees.
  • More than €100 incl. VAT: you may receive two invoices:
    • on the 17th of the current month for available and processed transactions from the 1st through the 14th;
    • on the 3rd of the following month for the remaining transactions and the monthly subscription fees.

With direct debit, the amount is debited 7 days after the invoice date: on the 24th for an invoice dated the 17th and on the 10th for an invoice dated the 3rd.

Good to know: a charging session can only be invoiced after it has been received and validated by Last Mile Solutions. As a result, a transaction may sometimes appear on a later invoice.

For CPOs and eMSPs, the invoice date is the 25th of the month.

What counts toward the €100 threshold?

This refers to the total invoice amount including VAT. This includes, among other things:

  • public charging sessions;
  • home charging sessions;
  • charging on other networks via roaming;
  • the monthly subscription fees.

Example: Do your charging sessions amount to €90 and your subscription fees to €15? Then your total invoice amounts to €105. This means you exceed the €100 threshold and may receive two invoices for the following month’s transactions.

Do the payment terms change?

No. Only the invoice and direct debit dates change. This means you do not have less time to pay your invoice.

The invoice layout also remains the same. However, the invoice will state the correct period to which the charged transactions relate.

Does the €100 threshold also apply to other currencies?

Each currency has a separate threshold. Amounts in different currencies are not added together to reach the threshold:

  • EUR: €100
  • CHF: 90
  • CZK: 2,500
  • GBP: 85
  • HUF: 35,000
  • NOK: 1,100
  • PLN: 450
  • RON: 500
  • SEK: 1,100
  • USD: 110
